How we use your details

What we collect when you book or get in touch, and what we do with it. Last updated 25 October 2026.

Who we are

Beauty Barn Training Academy Ltd (company no. 11830880, registered office The Barn, Greenacres, Pound Lane, Smeeth, Kent, TN25 6RJ) runs this website and the academy. We decide how your details are used, which makes us the "controller" under UK data protection law.

For anything about your details, email info@beautybarnacademy.co.uk or call 07967 015250.

What we collect

When you book a course: your name, email address, phone number, Instagram handle if you give one, the course and option you chose, when suits you if you say, and any notes you add.

When you send us a question or ask us to call you back: your name, email address, phone number if you give one, the course you asked about and your message.

Photos of your work: with your agreement, and your model's, we may photograph work done on your course for our website and social media.

When you pay: Stripe takes your card or Klarna details on its own payment page. We never see your full card number; Stripe tells us whether the payment went through. Stripe also keeps a copy of your booking, apart from your notes, so we can recover it if ours is ever lost.

When you browse: we count visits, where people click, how far they scroll and what they search for, without cookies and without identifying you. We never record what you type into forms. If a page goes wrong, we record technical details of the error, such as the page and the browser, so we can fix it.

Why we use it

To take your booking, agree your dates, teach you, and register you with the awarding body (such as VTCT) for your qualification or certificate. We need your details to do what you've booked.

To keep the financial records the law requires, such as what you paid and when.

To answer your questions and call you back, which you've asked us to do.

If your notes tell us about a health condition or an access need, we use that only to make your course safe and to suit you, because you've chosen to tell us.

To show students' work in our gallery, because you and your model have agreed. You can ask us to take a photo down at any time, and we will.

To keep the website working and secure. That's in our legitimate interest, and it doesn't identify you.

We don't sell your details, and we don't pass them to anyone for their own marketing.

Who else handles it

Your booking or enquiry is seen by the people who run the academy, and by the developer who looks after our booking system when something needs fixing. These companies handle details for us, under contracts that limit them to doing so:

Stripe (opens in a new tab) takes payments, including Klarna (opens in a new tab). Resend (opens in a new tab) sends our emails. Vercel (opens in a new tab) hosts this website. Our booking system runs on a server we manage in the EU.

The map on our home page is Google Maps. When it loads, Google receives your IP address and browser details, under Google's own privacy policy (opens in a new tab).

The awarding body for your course (such as VTCT (opens in a new tab)) receives what it needs to register and certify you.

Some of these companies process data outside the UK. Where they do, the transfer is covered by UK adequacy regulations or the contract clauses UK law requires.

How long we keep it

Bookings and payment records: six years after the end of the financial year they fall in, which HMRC requires.

Questions and callback requests: 12 months, unless they turn into a booking.

Photos of your work: until you ask us to take them down.

Error reports: only as long as it takes to fix the problem.

Cookies

We don't use cookies to track you or to advertise. Stripe's script, which shows Klarna options and takes payment, may set cookies Stripe uses to prevent fraud.

We count visits and clicks to improve the site, without cookies and without identifying you. You can opt out in this browser below, or ask us by email.

Your rights

You can ask for a copy of what we hold about you, and ask us to correct it, delete it, stop using it or send it to you in a portable form. Email info@beautybarnacademy.co.uk. We'll reply within a month. Some records, such as payments, we have to keep for the time above.

If you're unhappy with how we've handled your details, tell us first and we'll put it right if we can. You can also complain to the Information Commissioner's Office (opens in a new tab) or call them on 0303 123 1113.
